Receipt Scanner Apps for Small Business (Australia)

What an Australian receipt tracker should capture, how to keep digital records properly, and the workflow that makes BAS less painful.

Quick answer

A good receipt scanner app photographs the whole receipt, extracts the supplier, date, total and GST, lets you correct the result, and stores the original image beside a categorised expense. In Australia, a clear digital copy can generally replace the paper receipt, provided it remains accessible and unaltered.

This is general record-keeping information, not tax advice. The ATO guidance on electronic receipt copies is the source to check for your circumstances.

Why scanning beats a shoebox of receipts

A paper receipt is useful only while it is readable and findable. Thermal receipts fade, gloveboxes get cleaned out, and a quarterly pile gives you no useful view of spending during the quarter. Scanning at the time of purchase fixes all three problems.

  • You preserve the evidence. The image stays readable after the paper has faded.
  • You add context. A note such as “drill bits for Smith Street job” explains the business purpose months later.
  • You categorise once. Vehicle, tools, software and subcontractor costs are ready for reporting instead of being reconstructed at tax time.
  • You can search. Supplier, date and amount become filters rather than a manual hunt.

What the ATO expects a digital receipt to preserve

The ATO says a receipt photo should show the supplier name or business name, the amount, the nature of the goods or services, the day you incurred the expense, and the receipt date. For business purchases, also keep any GST detail you need to support a GST credit.

Photograph the entire receipt on a flat, contrasting surface. Check that the corners, totals and fine print are in frame. A scanner that reads the wrong amount is not saving time if the error reaches your BAS, so the review screen matters as much as the scan.

The five features that matter in a receipt scanner app

  1. Original-image retention. The saved expense should always link back to the source photo. Extracted text is useful, but it is not a substitute for evidence.
  2. Human review. You need to correct a date, total or GST figure before saving. No optical character recognition or AI system is perfect.
  3. Australian tax fields. Look for GST-inclusive totals, a separate GST amount and categories that make sense for Australian sole traders.
  4. Search and export. You should be able to filter by period and category, then export a clean file for your accountant or BAS workflow.
  5. Backup and access. Records must stay readable and retrievable. A phone camera roll with no naming, categories or backup is not a reliable system.

A 20-second receipt workflow

Use the same routine every time you buy something for the business:

  1. Photograph the receipt before leaving the counter, vehicle or job site.
  2. Check the supplier, date, total and GST extracted by the app.
  3. Choose the expense category and add a short business-purpose note.
  4. Save the expense with the original image attached.
  5. At month-end, review uncategorised items and export if your accountant needs them.

If a purchase is partly private, record the business-use portion rather than claiming the whole amount. For the broader workflow, see our guide to tracking business expenses in Australia.

How long to keep scanned receipts

The ATO says most business records need to be kept for five years. The period generally starts from the later of when you prepared or obtained the record and when you completed the related transaction or action. Some records, including those tied to assets or losses, can need longer retention.

Your copies should remain readable, protected from alteration or damage, and available if the ATO asks for them. Keep a backup. See the full Australian invoice and record-retention guide before deleting a large archive.

From receipt scans to BAS and profit

Scanning is the capture step, not the finish line. The useful result is a complete expense list by period and category. GST-registered businesses can review GST on purchases before lodging BAS, while every business gets a clearer profit-and-loss picture.

Free Invoice App combines receipt scanning with expense tracking, invoices and reports. Photograph the receipt, confirm the extracted details, and the expense is ready for your records. You can see how the Australian expense tracker works or start with three receipt scans on the free plan.

Frequently asked questions

Can I scan receipts and throw away the paper?

Generally yes, if the electronic copy is a true and clear reproduction. Confirm the image is readable, safely stored and backed up before disposing of the original.

How long should I keep scanned receipts?

Most business records need to be kept for five years, measured from the later of obtaining or preparing the record and completing the related transaction or action. Some exceptions require longer.

What needs to be visible?

Supplier, amount, what you bought, the day you incurred the expense and the receipt date. Keep GST information visible when it supports a GST credit.

Is a bank statement enough?

Not usually by itself. It can prove payment, but may not identify what was purchased or its business purpose. Keep the supplier receipt or tax invoice wherever possible.

Does Free Invoice App scan receipts?

Yes. It extracts the key fields for you to review, then saves the expense and source image together. The free plan includes three scans each month.
