Quick answer

A videography invoice should spell out exactly what the production included: shoot day(s), editing and post-production, the deliverables (cuts, formats, revisions), and any extras like drone, travel, or licensing. Itemising each stage is what prevents scope disputes and gets video production invoices paid on time.

Day rate vs project rate on a video production invoice

Both are standard in Australia, and the invoice should make it obvious which one you used. If you charge a day rate, show it as a quantity line: “Shoot day x 2 @ $[rate]/day”. If you charge a project rate, keep one production line but still split the edit out separately. Clients question a single lump sum far more often than they question three clear stages: shoot, edit, deliver.

Deposits and milestone billing for video work

For anything beyond a single shoot day, invoice in stages: a 30-50% deposit to lock in the date, and the balance on delivery of the final cut. Longer productions add a milestone at picture lock. Each stage is its own numbered invoice, which keeps your records clean for the ATO. Our guide on invoicing for a deposit has the exact wording to use.

Licensing and usage rights

If the client is paying for usage (paid ads, broadcast, extended terms), put it on its own line and describe the scope in the notes: platform, territory, and duration. Separating licensing from production makes renewals simple - next year you invoice the licence line again without re-quoting the whole job.

ATO-ready basics

  • Business name + ABN
  • Invoice number + invoice date
  • Description of the production and deliverables
  • Total payable (+ GST if registered)
  • Client name or ABN on invoices of $1,000 or more
  • Payment terms

The full field-by-field rules are in our ATO tax invoice requirements checklist. If you’re not GST-registered, see how to invoice without GST - the wording matters.

Frequently asked questions

What should a videography invoice include in Australia?

Your business name and ABN, an invoice number and date, a description of the production (shoot days, editing, deliverables), the total payable, GST if you’re registered, and payment terms. Invoices of $1,000 or more also need the client’s name or ABN.

Should videographers charge a day rate or a project rate?

Both work - day rates suit shoots where scope can move, project rates suit fixed deliverables. Either way, itemise the shoot and the edit separately so the client can see what they’re paying for.

Should I take a deposit for video production work?

Yes, for most projects: 30-50% before the shoot, balance on delivery of the final cut. Number the deposit and final invoices separately.

Do videographers need to charge GST?

Only if registered for GST, which is compulsory once turnover reaches $75,000 in a 12-month period. Below that, don’t add GST and don’t label the document a “Tax Invoice”.

How do I invoice for video licensing or usage rights?

Add licensing as its own line item and state the scope in the notes: platform, territory, and duration. That makes renewals easy to invoice later.
