Free NDIS invoice generator for support workers and providers

Build an invoice a plan manager can pay without sending it back: the participant’s NDIS number, support item numbers, one line per shift under its date, hours times your rate, and a GST-free total. Download the PDF. No signup, no watermark.

  • Participant name and NDIS number
  • Plan manager or self-managed
  • Support item number on every line
  • Shifts grouped under their dates
  • GST-free by default
Step 1

Your business

Plan managers match the ABN on the invoice to the provider they pay, so use the name and ABN you are registered under.

Step 2

The participant, and who pays

One participant per invoice. The NDIS number and the support dates are the two things plan managers most often send an invoice back for.

What a plan manager checks before paying

The NDIS publishes what an invoice needs. Plan managers check it line by line, and an invoice missing any of it goes back to you instead of into the payment run. The generator has a field for each one.

  1. 1Your business name and ABN, as registered
  2. 2The participant's name, NDIS number and address
  3. 3Who pays: the plan manager, or the participant if self-managed
  4. 4The support item number from the NDIS support catalogue, and the claim type if it is not a standard service
  5. 5The date each support was delivered, one line per shift
  6. 6The hours or quantity, and your rate, at or under the price limit for plan-managed participants
  7. 7The total, and GST only if a support is taxable

One participant per invoice. If you support two people in a week, that is two invoices, each with its own dated lines. Weekly or fortnightly invoicing keeps you well inside the 90-day claiming window the NDIS has announced from December 2026.

General information only, not tax or legal advice. Rules change: check the NDIS website and the current NDIS pricing schedule before you invoice.

Questions

What has to be on an NDIS invoice?

The NDIS lists your business name and ABN, the participant's name, NDIS number and address, the support item number, the claim type where it is not a standard service, the dates the support was delivered, the quantity or hours, the total amount and any GST. Each invoice can only be for one participant, but it can include several supports. The generator has a field for each of these.

Do NDIS invoices include GST?

Usually not. Under ATO rules an NDIS support is GST-free when the participant has a plan in effect, the support is in their plan, there is a written agreement, and the supply is covered by the GST-free NDIS supports determination. The generator leaves GST off by default and prints no GST line. Tick the GST box only for a taxable support, and put taxable and GST-free supports on separate invoices.

Who do I send the invoice to?

For a plan-managed participant, send it to their plan manager, who pays you. For a self-managed participant, send it to the participant or their nominee, who pays you and claims it back. Agency-managed supports can only be delivered by registered providers, who claim through the NDIS portal rather than by invoice. Choose who pays in step 2 and the invoice is addressed accordingly.

Where do I find support item numbers and prices?

In the NDIS support catalogue and the NDIS pricing schedule on the NDIS website. For 2026-27 the price guide is called the NDIS pricing schedule. Its price limits apply to plan-managed and NDIA-managed participants; self-managed participants can agree to any rate. Put the support item number at the start of each line, for example 01_011_0107_1_1 for assistance with self-care on a weekday.

Do I itemise each shift?

Yes. One line per session with its date and hours is what plan managers process fastest, and missing dates are a common reason invoices are sent back. The generator groups lines under the day they were delivered: add a day for each date you worked and a line for each support that day.

How soon do I need to invoice?

The NDIS has announced that from December 2026 claims must be made within 90 days of delivering a support, down from two years. Invoicing weekly or fortnightly keeps you well inside that. Check the NDIS website for how this applies to your participants.

Can unregistered providers use this?

Yes, for participants who self-manage their funding or use a plan manager. Some supports always need a registered provider, and the NDIS has announced more registration requirements from July 2027, so check what applies to the services you deliver.

Is the NDIS invoice generator really free, and where is my data stored?

Yes. You can build the invoice and download the PDF without an account, a card or a watermark. Everything you type stays in your own browser so you do not lose your work if you refresh; nothing is uploaded. You only need a free account if you want Free Invoice App to email the invoice, keep the participant and your support items for next time, or chase it when it is overdue.
