Sound familiar?
Invoices come back when one detail is missing
Rejected over a detail
A missing NDIS number, support item or date can hold up an invoice while you fix and resend it.
Shift after shift to list
Typing every date, item number and hours into a template each fortnight takes longer than it should.
Keeping track of who paid
Several participants and plan managers, each paying on their own schedule, makes it hard to see what is still owed.
Built for the way NDIS invoicing works
Anything marked Every plan works on the free Starter plan too.
Participants saved as clients
Save each participant’s name, NDIS number and address once, with their plan manager’s invoice email as the address the invoice goes to.
Support items saved once
Save each support you deliver with its support item number, rate and unit, such as per hour, and add it to an invoice in a tap.
Every shift under its date
Group line items by date, so a week or fortnight of shifts fits on one invoice and the plan manager sees each day clearly.
Payment references recorded
Mark an invoice paid and record the plan manager’s payment reference against it, so your records match their remittance.
Copies to the right people
CC a participant, support coordinator or bookkeeper on an invoice email. Each CC uses one send from your monthly allowance.
Notes on the invoice
Add a note under the totals, such as your service agreement reference, and it prints on the PDF.
Overdue invoices followed up
Unpaid invoices are followed up on a set schedule by email, and chasing stops the moment an invoice is marked paid.
What goes on an NDIS invoice
The details plan managers look for
The NDIS lists what an invoice needs. Each invoice can only be for one participant, but it can include several supports.
Your business name and ABN
Save them once in your profile and they print on every invoice.
The participant’s name, NDIS number and address
Save each participant as a client with these details, so they appear on every invoice for them.
Support item number and claim type
Write the support item number from the NDIS support catalogue into the line item, with the claim type where it is not a standard service.
Dates delivered, and the hours or quantity
Group line items by date so each shift sits under the day it was delivered, with its hours and rate.
The total, and GST if any applies
Most NDIS supports are GST-free when the ATO’s conditions are met, so the invoice shows no GST.
General information only. Rules change, so check the NDIS website and the current NDIS pricing schedule before you invoice.
Which plan fits your NDIS work
Most independent support workers start free. Move up when your invoice count or your paperwork grows.

Common questions
What has to be on an NDIS invoice?
The NDIS lists your business name and ABN, the participant’s name, NDIS number and address, the support item number, the claim type, the dates the support was delivered, the quantity or hours, the total amount and any GST. Each invoice can only be for one participant, but it can include several supports. Check the NDIS website for the current requirements.
Can unregistered providers invoice NDIS participants?
Yes, for participants who self-manage their funding or use a plan manager. NDIA-managed supports can only be delivered by registered providers, who claim through the NDIS provider portal rather than by invoice. Some supports always need a registered provider, and the NDIS has announced more registration requirements from July 2027, so check what applies to your services.
Do NDIS invoices include GST?
Usually not. Under ATO rules, an NDIS support is GST-free when the participant has a plan in effect, the support is in their plan, there is a written agreement, and the supply is covered by the GST-free NDIS supports determination. In Free Invoice App you set the GST rate on each invoice, so a GST-registered provider can issue a GST-free invoice at 0%. If one invoice would mix GST-free and taxable items, issue them on separate invoices.
Who do I send the invoice to?
For a plan-managed participant, send it to their plan manager. For a self-managed participant, send it to the participant, who pays you. Save the right email address on each participant’s client record and the invoice goes there every time.
Where do I find support item numbers and prices?
In the NDIS support catalogue and the NDIS pricing schedule on the NDIS website. For 2026-27 the price guide is called the NDIS pricing schedule. Its price limits apply to plan-managed and NDIA-managed participants, not self-managed ones. Save each item you deliver as a service once and it is ready for every invoice.
How soon do I need to invoice?
The NDIS has announced that from December 2026, claims must be made within 90 days of delivering a support, down from two years. Invoicing weekly or fortnightly keeps you well inside that. Check the NDIS website for how this applies to your participants.
