The most useful invoicing software for a cleaning business keeps the customer, the property, the work completed and the payment together. A solo cleaner with two occasional clients may only need a PDF. A business handling weekly houses and monthly office accounts needs a way to reuse client details, check unpaid balances and avoid recreating the same invoice every week.

A booking calendar and a billing schedule answer different questions. One tells you when a cleaner should attend; the other tells you when an invoice should be issued. Test these five things before choosing a plan

  1. Can you identify the job? Put the property and visit date in the description or notes. A client with three properties should not have to guess which clean they are paying for.
  2. Can you reuse the right customer? Save the person or business that owes the money, then record the service address separately when it differs.
  3. Can you explain a changed price? An oven clean, extra room or extra hour should have its own description and an agreed amount.
  4. Can you see what is unpaid? Check payment status before another reminder. Record bank payments when you receive them.
  5. Can you handle a missed visit? A recurring schedule needs to be paused or edited when the arrangement changes. It should never replace a completion check.

For example, imagine eight households receiving one invoice each week. Four weeks produces 32 invoice emails before reminders or CC recipients. That is a more useful purchasing calculation than the number of clients alone. By contrast, two monthly clients may produce very little sending, even if each contract has a large value.

What stays free, and what a paid plan adds

The no-account invoice generator creates downloadable PDFs. Within the app, Starter includes unlimited invoice creation and PDF downloads, with seven included sends per month. Pro includes 250 sends per month, recurring invoices, up to three attachments per invoice and 25 SMS notifications per month. CC recipients and manual reminders also consume sends. Until the 1 October 2026 monthly reset, invoices with an available card payment option are exempt from the send allowance; from that reset they count too. Both paid plans have a 10 MB combined attachment limit per invoice. Check current pricing and payment fees before choosing. SMS requires a supported Australian mobile number and is subject to the plan allowance.

Choose Pro for repeated admin you actually have: sending more invoices, billing a stable cleaning arrangement or attaching a signed scope. Consider Pro+ when automatic follow-up, a business sending domain or separate bookkeeper access is useful. More features do not by themselves make a higher plan worthwhile.

Build one complete workflow before automating it

Start with a clear cleaning quote. Confirm who is paying, the service address, the price and any extras. After the clean, check the completed work, issue the invoice and record the payment. Once that process is reliable, decide which parts repeat without changes.

Use recurring cleaning billing for stable arrangements. Use the commercial cleaning guide when a purchase order or site approval stands between you and payment. For one-off handovers, follow the end-of-lease checklist.

Questions cleaners ask

Can I keep my current invoice numbering?

Does recurring invoicing collect payment automatically?

It generates and sends an invoice on a schedule. It is not a direct debit arrangement. Customers still need to pay using the methods you offer.

What if I also need staff rostering or inspection checklists?

Include those requirements in your software decision. An invoice app can manage billing while another tool manages visits, but check the full workflow before moving a team. Do not assume that a recurring invoice is a roster, a timesheet or proof of service.
