Three things that get arborist invoices paid faster
- 1Mirror your quote: the same lines in the same order, so the client can tick them off. Variations go on their own line.
- 2Note any permit or arborist report the client supplied, and whether the stump, mulch or timber was removed or left on site.
- 3Tree work is often a one-off job of a few thousand dollars, so bank details and a card payment option on the invoice speed up payment.
What has to be on the invoice
If you are registered for GST, the ATO expects seven things on a tax invoice before your client can claim the GST back. Miss one and the invoice can be knocked back, which is how a 14-day invoice quietly becomes a 60-day one.
- 1The words "Tax Invoice", so the document identifies itself
- 2Your business name, as it is registered
- 3Your ABN, all 11 digits
- 4The date you issued it
- 5A description of what you supplied, itemised
- 6The GST amount, or a statement that the total includes GST
- 7The total amount payable
Invoices of $1,000 or more need one extra field: the buyer’s identity or ABN. If you are not registered for GST, you must not charge GST and must not call the document a tax invoice; untick the GST box above and it becomes a plain invoice.
General information only, not tax advice. Check your own circumstances with the ATO or your accountant.
Questions
Should I take a deposit for tree work?
Many arborists take a deposit on jobs that need a crane, traffic control or a permit, and invoice the balance on completion. Show the deposit as a negative line or as "less deposit paid" so the invoice total is the balance owing.
What if the job changed on the day?
Add the variation as its own line with a short reason, for example "additional limb removal over neighbour’s fence, agreed on site". Clients query a bigger total; they rarely query a clearly labelled extra line.
Is this invoice generator really free?
Yes. Build the invoice and download the PDF without creating an account, entering a card or getting a watermark. You only need a free account if you want Free Invoice App to email the invoice, take card payments or chase it when it goes overdue.
Is the invoice ATO-compliant?
It follows the ATO tax invoice format: the words "Tax Invoice", your business name and ABN, the issue date, an itemised description of what you supplied, the GST amount and the total payable. Tick the GST box only if you are registered for GST; leave it off and the document is issued as a plain invoice with no GST.
