Three things that get videographer invoices paid faster

  1. 1Separate shoot days from editing hours. Clients understand a day rate; a single "video production" figure invites negotiation.
  2. 2State what is delivered: number of edited videos, length, format and the licence for use. It prevents the "can we also have" email.
  3. 3Invoice the deposit when the shoot is booked and the balance on delivery, before the final files are released.

What has to be on the invoice

If you are registered for GST, the ATO expects seven things on a tax invoice before your client can claim the GST back. Miss one and the invoice can be knocked back, which is how a 14-day invoice quietly becomes a 60-day one.

  1. 1The words "Tax Invoice", so the document identifies itself
  2. 2Your business name, as it is registered
  3. 3Your ABN, all 11 digits
  4. 4The date you issued it
  5. 5A description of what you supplied, itemised
  6. 6The GST amount, or a statement that the total includes GST
  7. 7The total amount payable

Invoices of $1,000 or more need one extra field: the buyer’s identity or ABN. If you are not registered for GST, you must not charge GST and must not call the document a tax invoice; untick the GST box above and it becomes a plain invoice.

Questions

How do I handle revisions on a video invoice?

Say how many revision rounds the quoted price includes, and add further rounds as their own lines at your hourly editing rate. A client who can see the included rounds on the invoice rarely argues about the extra ones.

Do I charge GST on video production?

If you are registered for GST, yes on all of it including travel you rebill. Overseas clients can be GST-free in some cases; check the ATO rules for exported services before leaving GST off.

Is this invoice generator really free?

Yes. Build the invoice and download the PDF without creating an account, entering a card or getting a watermark. You only need a free account if you want Free Invoice App to email the invoice, take card payments or chase it when it goes overdue.

Is the invoice ATO-compliant?

It follows the ATO tax invoice format: the words "Tax Invoice", your business name and ABN, the issue date, an itemised description of what you supplied, the GST amount and the total payable. Tick the GST box only if you are registered for GST; leave it off and the document is issued as a plain invoice with no GST.

Where is my data stored?

In your own browser only. Your business details and lines are saved to local storage so you do not lose your work if you refresh, and nothing is uploaded to our servers.
