Three things that get photographer invoices paid faster

  1. 1State the number of edited images and the usage licence (personal, commercial, social) on the invoice; it is the document clients keep.
  2. 2Deposit on booking, balance on gallery delivery. Release the gallery when the balance clears.
  3. 3Prints and albums are a separate product with their own supplier cost; keep them on their own lines.

What has to be on the invoice

If you are registered for GST, the ATO expects seven things on a tax invoice before your client can claim the GST back. Miss one and the invoice can be knocked back, which is how a 14-day invoice quietly becomes a 60-day one.

  1. 1The words "Tax Invoice", so the document identifies itself
  2. 2Your business name, as it is registered
  3. 3Your ABN, all 11 digits
  4. 4The date you issued it
  5. 5A description of what you supplied, itemised
  6. 6The GST amount, or a statement that the total includes GST
  7. 7The total amount payable

Invoices of $1,000 or more need one extra field: the buyer’s identity or ABN. If you are not registered for GST, you must not charge GST and must not call the document a tax invoice; untick the GST box above and it becomes a plain invoice.

General information only, not tax advice. Check your own circumstances with the ATO or your accountant.

Questions

Should the invoice mention copyright and usage?

Yes, in the notes. One sentence saying copyright stays with you and what use the client is licensed for avoids the most common dispute in photography. The generator’s notes field prints at the bottom of the invoice.

Do photographers charge GST?

Only once registered for GST, which is compulsory at $75,000 turnover a year. If you are registered, GST applies to sessions, images and prints alike.

Is this invoice generator really free?

Yes. Build the invoice and download the PDF without creating an account, entering a card or getting a watermark. You only need a free account if you want Free Invoice App to email the invoice, take card payments or chase it when it goes overdue.

Is the invoice ATO-compliant?

It follows the ATO tax invoice format: the words "Tax Invoice", your business name and ABN, the issue date, an itemised description of what you supplied, the GST amount and the total payable. Tick the GST box only if you are registered for GST; leave it off and the document is issued as a plain invoice with no GST.

Where is my data stored?
